RULES OF PARTICIPATION
- Viper Martial Arts Academy and its employees/agents shall not be liable for any loss, damage or theft of property unless caused by their negligence
- Viper Martial Arts Academy and its employees/agents shall not be responsible for any personal injury, death or illness unless caused by their negligence
- Parents/guardians must be present for all children under the age of 18 for their induction and taster session.
- Viper Martial Arts Academy and its employees/agents shall not be responsible for any personal injury, death or illness caused by the failure of any person to follow Viper’s Rules of Participation
- By participating in martial arts the Student agrees that he/she is in good physical condition and knows of no medical reason why he/she should not take part
- By taking part in martial arts the Student recognises that he/she is taking part in a highly physical contact sport whereby injury may occur during the normal course of that physical contact
- All Students must properly warm up prior to classes
- Proper protection must be worn during all fighting
- Failure to follow the Rules will result in disciplinary procedures as deemed appropriate by the Chief Instructor / Manager
- Any conduct, whether within or outside Viper Martial Arts Academy which may damage the reputation of Viper Martial Arts Academy, it’s Instructors or it’s Students will be deemed to be a disciplinary matter
- All decisions regarding disciplinary procedures are final
POLICY
Viper Martial Arts Academy will store your information electronically and it may be shared with third parties who have a legitimate need for it; such as our management company, franchisor and governing body. It will not be shared with third parties for purposes other than those necessary to effectively provide our services and to ensure the health and safety of our staff and customers. Viper Martial Arts Academy is registered with the Information Commissioners Office and will at all times handle your information in compliance with current data protection legislation.
Any information needed will be kept on paper only as long as necessary or until student registers, at that time all information will be transferred onto a secure digital location or fully destroyed in accordance with current data protection legislation.
Viper Martial Arts Academy reserves the right to request a written statement by a medical professional, the cost of which is to be borne by the customer, to confirm that any individual may safely take part in any or all of the activities we organise/attend. Permission to take part is classes/events may at our discretion be refused until such a statement is provided. We will also follow and meet/enforce any such restriction or requirement requested by our insurer and/ or governing body(ies).
AGREEMENT BETWEEN PAYEE AND VIPER MARTIAL ARTS ACADEMY
- I consent to pay Viper Martial Arts Academy the monthly fee agreed, with a down payment registration fee.
- This fee may increase in line with the Academy fees at that time and will continue until written notice is given to the Academy.
- I understand that I am liable to pay the funds for the agreed duration under all circumstances. This conformity includes a three months opt out option in which if I should cancel, I will give three months notice written to the Academy. I will pay the three month’s notice in full otherwise I am liable for the full-term payment.
- I understand that termination of instruction can be issued by Viper Martial Arts Academy should I disobey Codes of Conduct within the Academy, however I fully understand I will still be liable for payment on the above.
- I understand that failure to provide funds on time will result in a late collection fee.
- I understand there is no refund policy for missed tuition.
- I understand the above fee is for tuition, membership, license and insurance and registration for full the 12 months. I understand this fee does not include graduations, courses, events or products from the pro shop.
- I agree to inform Viper Martial Arts Academy of any personal or bank details that should change within the agreed term.
CODE OF CONDUCT FOR CHILDREN & YOUNG PEOPLE
Note: Where we refer to ‘parents’ we mean parents and carers inclusively. The term ‘children’ or ‘child’ describes any person under the age of 18.
As a young person taking part in our club, we’d like you to follow this guidance to make sure you are able to participate in your classes safely.
The essentials:
✓ keep yourself safe by listening to your instructor, behaving responsibly and speak out when something isn’t right
✓ when you’re with us, stay in the places where you’re supposed to, don’t wander off or leave without telling a member of staff
✓ take care of our equipment and premises as if they were your own
✓ make it to sessions on time and if you’re running late, let a member of staff know
✓ bring the right uniform to practice and wear appropriate safety gear when sparring
✓ not smoke or consume alcohol on our premises or during sessions, competitions or when representing us
Behaviour:
✓ respect and celebrate difference in our club and not discriminate against anyone else on the grounds of gender, race, sexual orientation or ability
✓ report any incidents of bullying, including homophobia and transphobia to a member of staff, even if you’re just a witness
✓ treat other young people with respect and appreciate that everyone has different levels of skill and talent
✓ make our club a welcoming and friendly place to be
✓ support and encourage your teammates.Tell them when they’ve done well and be there for them when they’re struggling
✓ respect our staff, and the staff and young people from other academies
✓ be a good sport, celebrate when we win and be gracious when we lose
✓ play by the rules and have fun
✓ follow our online safety and internet use policies
✓ get involved in club decisions As a young person taking part we understand you have the right to:
enjoy the time you spend with us and know that you’re safe
be told who you can talk to if something isn’t right
be listened to
be included
be involved and contribute to decisions regarding the academy
be respected by us and all members and be treated fairly
feel welcome, valued and not judged based on race, gender, sexuality or ability
be encouraged and develop skills with our help
be looked after if there is an accident or injury and have your parents informed We expect all young people to follow the behaviours and requests laid out in this code. If any young person behaves in way that contradicts any of the points set out above, we will address the problem straight away with parents involvement and aim to resolve the issue. Continued issues or breaches in this code may result in us regrettably asking you to leave the academy permanently, for the welfare of other young people and our staff. This is something we never want to do. CODE OF CONDUCT FOR PARENTS & CARERS Note: Where we refer to ‘parents’ we mean parents and carers inclusively. The term ‘children’ or ‘child’ describes any person under the age of 18. As a parent of a child taking part in our academy, we’d like you to: ✓- make sure your child has the right kit for the session as well as enough food and drink ✓ try to make sure your child arrives to sessions on time and is picked up promptly; or let us know if you’re running late or if your child is going home with someone else ✓ complete all consent, contact and medical forms and update us straight away if anything changes ✓ make sure your child wears any protective kit we provide for them ✓ maintain a good relationship with your child’s instructor and catch up with them as ✓ talk to us if you have any concerns about any part of your child’s involvement – we want to hear from you ✓ take the time to talk to your child about what you both want to achieve through martial arts ✓ talk to your child and learn about martial arts and what it means to them ✓ remember that children get a wide range of benefits from participating in martial arts, like making friends, getting exercise and developing skills. It’s not all about wins and losses. It’s important children know you’re proud of what they’re doing ✓ think about how the way you react and behave effects not just your child but other children too ✓ encourage your child to respect and celebrate difference in the club ✓ lead by example when it comes to positive behaviour on the sidelines; or let other parents take their cues from you, as well as from us ✓ accept the official’s judgment and do not enter the mats unless authorised to do so by a member of staff ✓ use social media responsibly when talking about what goes on at our academy ✓ talk to your child about embracing good etiquette and sportsmanship ✓ encourage your child to play by the rules ✓ ensure that your child understands their code of conduct As a parent we understand you have the right to: ✓ be assured that your child is safeguarded during their time with us ✓ know who the welfare officer responsible for your child is and have their contact details ✓ be involved and contribute towards decisions within the academy ✓ know what training and qualifications our staff have ✓ be informed of problems or concerns relating to your child ✓ know what happens if there’s an accident or injury, be informed if your child is injured ✓ have your consent sought for anything outside of our initial consent form, such as permission to go on trips We expect all parents to follow the behaviours and requests set out in this code. If any parent behaves in a way which contradicts any of the points set out above, we’ll address the problem straight away with the parent and aim to resolve the issue. Persistent concerns or breaches may result in parents being asked not to attend games if their attendance is considered a risk to the welfare and enjoyment of young participants.
CODE OF CONDUCT FOR STAFF & VOLUNTEERS
Note: Where we are referring to ‘parents’ we mean parents and carers inclusively. The term ‘children’ or ‘child’ describes any person under the age of 18. As a member of staff or a volunteer at our club or activity, we’d like you to:
✓ implement our safeguarding policy and procedures
✓ report any concerns about or allegations of abuse or poor practice to our welfare officer
✓ listen to any concerns that parents or young people might have
✓ consider your behaviour – do not engage in any behaviour that constitutes any form of abuse
✓ respect your position of trust and maintain appropriate boundaries and relationships with young people. Engaging in sexual behaviour with any child under the age of 18 is illegal
✓ keep any coaching and safeguarding training up to date
✓ keep children in your sessions safe by supervising appropriately, using safe methods and techniques and by putting children’s safety first
✓ make sure you’ve got appropriate staffing ratios of adult to participant before the session begins
✓ ensure equipment is fit for purpose, safe to use and accessible
✓ respect children’s trust and rights whilst being honest and open with them
✓ champion everyone’s right to take part and celebrate difference in our club or by not discriminating against anyone, regardless of gender, race, sexual orientation or ability
✓ stop play if an injury happens, administer minor first aid and call for help when necessary
✓ use constructive and positive methods of developing children’s skills, without humiliating or harming them
✓ behave appropriately online in accordance with our online safety and acceptable use policy
✓ challenge and address instances of poor, negative, aggressive or bullying behaviour amongst young people
✓ lead by example when it comes to good sportsmanship, positive behaviour and commitment to the academy
✓ develop positive relationships with parents and catch up with them regularly about their child’s development
✓ make our academy a friendly and welcoming place to be As a member of our staff we understand that you have the right to: ✓ enjoy the time you spend with us and be supported in your role
✓ be informed of our safeguarding and reporting procedures and what you need to do if something isn’t right
✓ have access to ongoing training in all aspects of your role
✓ be listened to
✓ be involved and contribute towards decisions within the academy
✓ be respected and treated fairly by us and our governing body
✓ feel welcomed, valued and not judged based on your race, gender, sexuality or ability
✓ be protected from physical or emotional abuse from children or parents and be supported to resolve conflictsWe expect all of our staff and volunteers to follow the behaviours and requests set out in this code. If any staff member or volunteer behaves in a way which contradicts any of the points set out above, we’ll address the problem straight away and aim to resolve the issue. Continued issues and repeated breaches of this code may result in us taking disciplinary action against you with the involvement of governing bodies and ultimately your dismissal from the organisation
